PRINCIPAL CLERK TRANSCRIBER
DEFINITION
Under direction, acts as secretary to a supervisory official,
supervises work of a group of clerk transcribers and senior clerk
transcribers, or is responsible for very difficult clerical work;
any of these categories of work assignments would be combined
with very difficult and complex transcription work; does other
related duties as required.

SPECIAL SKILL
Applicants must be able to read, write, speak, understand, or communicate in
Spanish and English sufficiently to perform the duties of this position.
EXAMPLES OF WORK:
Organizes assigned transcription, secretarial, and/or supervisory
and other related clerical work, analyzes problems which arise
therein, and develops effective work methods.
Assigns, instructs, and may supervise work performance of senior
clerk transcribers, clerk transcribers, and other clerical
employees.
Transcribes dictation of a difficult, complex, and/or technical
nature using recording equipment.
Transcribes dictation which is difficult to arrange and tabulate
including legal, medical, and/or statistical materials.
Prepares designated correspondence which may not be reviewed by a
supervisor in accord with established procedures.
Processes requests for information in accord with policies.
Relieves a supervisory official of office detail and acts as
his/her secretary.
Schedules appointments and interviews callers at the office.
Prepares the agenda of meetings, conferences, and hearings.
Helps to collect material for and edits speeches, reports, and
articles.
Prepares factual reports.
Maintains records, reports, and files.
Will be required to learn to utilize various types of electronic
and/or manual recording and information systems used by the
agency, office, or related units.
REQUIREMENTS:
EXPERIENCE:
Two (2) years of experience in the transcription of dictation using
recording equipment.
NOTE: Successful completion of a clerical training program
with a minimum of 700 classroom training hours or thirty (30)
semester credit hours in secretarial science from an accredited
college or university may be substituted for one (1) year of
experience indicated above. Course work must include keyboarding
skills, methods, and procedures; other courses may include but
not be limited to office procedures, word processing, and
business English.
LICENSE:
Appointees will be required to possess a driver's license
valid in New Jersey only if the operation of a vehicle, rather
than employee mobility, is necessary to perform essential duties
of the position.
KNOWLEDGE AND ABILITIES:
Knowledge of the operation of recording devices and of taking and
transcribing dictation using such equipment.
Knowledge of office methods, practices, routines, machines, and
equipment.
Knowledge of approved English usage, correct spelling, sentence
structure, paragraphing, and legal, medical, or other specialized
terminology as required.
Ability to organize assigned supervisory or secretarial work, and
develop appropriate work methods.
Ability to properly use and care for manual and electric
typewriters, duplicating machines, and recording or other
equipment.
Ability to comprehend and interpret regulations and policies and
apply them to specific situations.
Ability to act as secretary to an administrative official, and
relieve him/her of office detail.
Ability to process requests for information in accord with
established procedures.
Ability to transcribe difficult dictation and technical materials
using recording equipment, and to do complicated typing with
speed, accuracy, and neatness.
Ability to compose business letters.
Ability to prepare factual reports and agenda of meetings.
Ability to maintain records and files.
Ability to utilize various types of electronic and/or manual
recording and information systems used by the agency, office, or
related units.
Ability to read, write, speak, understand, and communicate in
English sufficiently to perform the duties of this position.
American Sign Language or Braille may also be considered as
acceptable forms of communication.
