SENIOR MAIL CLERK DEFINITION:
Under limited supervision of a supervisor in a state department, institution, college, or agency, or local jurisdiction performs the work involved in the delivering, receiving, sorting, distributing, and preparing of a large volume of mail, handles not so routine tasks; does related work as required.

EXAMPLES OF WORK:
Handles not so routine work involved with the receipt, sorting, and distributing of interoffice and U.S. mail.
In the absence of the supervisor, may assist and respond to Queries from Mail Clerks, Truck Drivers, and/or clerical employees assigned to the Mail Unit.
Performs the work involved in the receipt, date-stamping, and intradepartmental distribution of incoming letters and packages; sees that proper signatures are obtained where necessary.
Performs the work involved in the folding, inserting, sealing, and labeling operations including the maintenance, service, and repair of related machines.
Makes regular and special runs for the intradepartmental collections of outgoing mail; may drive, load, and/or unload the mail truck as necessary.
Prepares outgoing mail for delivery to a state department post office; may weigh, stamp, and deliver outgoing mail directly to the Federal Post Office.
Closely follows schedules of collection and delivery times and makes necessary adjustments for the expedition of emergency and peak mail loads.
Under direction of a supervisor, may dispense postage stamps to offices throughout the department or agency.
May prepare simple statistical, accounting, and other reports of mail unit programs and activities.
Maintains essential records and files.
Will be required to learn to utilize various types of electronic and/or manual recording and information systems used by the agency, office or related units.
REQUIREMENTS:
EXPERIENCE:
One (1) year of experience in the collecting, sorting, and distributing of mail.
LICENSE:
Appointee will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform the essential duties of the position.
Appointees may be required to possess a valid Commercial Driver's License (CDL) and applicable endorsements for the class and type of vehicle being operated.
NOTE: The responsibility for ensuring that employees possess the required motor vehicle license, commensurate with the class and type of vehicles they operate, rests with the Appointing Authority.
KNOWLEDGE AND ABILITIES:
Knowledge of U.S. postal regulations pertaining to special delivery, registered, insured, special handling, and other specialized categories of mail.
Knowledge of the operation, adjustment, repair, maintenance and potentialities of the following office appliances: inserting and sealing machines, addressograph and/or graphotype machines, and shredder machines.
Knowledge of the types and qualities of various types of envelopes, cards, and other materials which are used in the various programs.
Knowledge of the federal laws and regulations and department regulations pertaining to the processing of the mails and their application to specific situations after a period of training.
Ability to guide Mail Clerks, Clerks, clerical employees, Truck Drivers, and/or other mail unit employees.
Ability to follow delivery and pick-up schedules and take the measures required to handle emergency, peak, seasonal, and/or other unusual loads in order that the regular processing of the mails shall not be delayed.
Ability to strictly follow procedures for the receipt, date-stamping, and intradepartmental distribution of incoming mail and packages including the recording of signature where so required.
Ability to organize the clerical and mechanical work involved in the work of the mail section and develop effective work procedures.
Ability to keep daily accounts of postage costs charged to the various units, transfer them to the ledger, and prepare statements periodically.
Ability to determine the proper amounts of postage required for letters and packages.
Ability to drive the mail truck, if required.
Ability to keep extensive records, prepare reports, maintain files, and perform the accompanying clerical duties.
Ability to prepare clear, simple accounting, statistical, and other mail unit reports containing findings, conclusions, and recommendations.
Ability to maintain essential records and files.
Ability to learn to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.
Ability to read, write, speak, understand, or communicate in English sufficiently to perform the duties of this position. American Sign Language or Braille may also be considered as acceptable forms of communication.
