COORDINATOR OF SUPPLY SUPPORT OPERATIONS (40147)
DEFINITION
Under the general direction of the Supervisor, Central Warehouse or other supervisory official in
the Department of Health is responsible for coordinating the activities of the Department's
warehouse supply support operations including the receiving, inventorying, storing and distributing
of various supplies and materials; the Department Statewide courier service; the messenger and
mail services and the maintenance of an assigned fleet of motor vehicles; does related work as
required.
EXAMPLES OF WORK
Supervises and coordinates the work programs, activities and supply support staff of the
Warehouse and Storerooms located in the Department and satellite locations.
Gives assignments, instructions and supervision to subordinate employees in receiving, storing,
inventorying, packaging and distributing various supplies, materials and biological equipment and
supplies, including vaccines, drugs and syringes.
Develops and maintains a system to insure that deliveries are received in proper order and that
goods conform to the quantity and quality specified.
Develops procedures and safeguards for the receiving, storing, inventorying, and distribution of l
aboratory supplies and chemicals, many of which are considered hazardous and dangerous
substances and require special procedures and handling.
Establishes and maintains proper storage methods and standards to eliminate unnecessary
handling of stock and to insure efficient use of existing storage space.
Develops procedures and maintains a stock rotation system to insure the timely distribution and
use of dated biological and chemical supplies.
Develops and supervises the maintenance of methods and procedures to insure efficient
operations.
Develops and maintains a perpetual inventory system.
Develops and prepares a supply and laboratory catalog supply.
Maintains an inventory of equipment and supplies declared obsolete for disposal through the State
Distribution Center or contract vendors.
Coordinates a Statewide courier service to provide materials and various supplies for district
offices, hospitals, health centers, family planning centers, venereal diseases, tuberculosis and drug
and alcohol abuse clinics; including the pick-up and delivery of laboratory specimens considered
potentially hazardous.
Coordinates a system for the receiving and distributing of in-coming and outgoing, interoffice,
certified and insured mail.
Supervises a messenger service for all programs in the Department's Central Office and all
satellite locations in the greater Trenton area.
Coordinates a messenger service both scheduled and special, to all State Departments and
facilities located in the Trenton area and Statewide as required.
Coordinates the proper maintenance schedule of a pool of State motor vehicles assigned to the
Commissioner's Office Assistant Commissioner for Administration and the courier and mail
services.
Supervises the work operations and/or functional programs and has responsibility for employee
evaluations and effectively recommending the hiring, firing, promoting, demoting and/or disciplining
of employees.
Supervises the maintenance of essential recording, inventories and files.
May be required to lean to utilize various types of electronic and/or manual recording and
information systems used by the agency, office or related units.
REQUIREMENTS
EXPERIENCE
Five years of experience in a warehouse operation involving the receiving, storing and distributing
of various materials and supplies including biological, chemical and medical supplies, three years
of which shall have been in a supervisory capacity.
LICENSE
Appointee will be required to possess a driver's license valid in New Jersey only if the operation of
a vehicle, rather than employee mobility, is necessary to perform the essential duties of the position
KNOWLEDGE AND ABILITIES
Thorough knowledge of the proper methods of receiving, storing, inventorying, and distributing
various materials and supplies.
Thorough knowledge of the approved methods of receiving, storing, inventorying and distributing
potentially hazardous substances and dated medical, biological and chemical supplies.
Thorough knowledge of the problems which arise in establishing and maintaining a perpetual
inventory system of replenishing stock and disposing of obsolete items.
Thorough knowledge of the problems which arise in storing equipment and supplies in such a
manner as to eliminate unnecessary handling and conserve space.
Thorough knowledge of the logistical procedures and methods involved in coordinating a large
scale mail distribution and courier service.
Ability to organize warehousing operations and related work, analyze general and specific storage
problems and develop appropriate work methods for main and satellite warehouses.
Ability to assign to employees of varied titles and levels appropriate assignments and supervise
the performance of their work.
Ability to establish and maintain a perpetual inventory.
Ability to insure that stock and supplies are maintained in sufficient quantity to supply current and
estimated needs and to dispose of obsolete stock.
Ability to coordinate complex mail distribution, messenger and courier services providing service
to a large geographic area.
Ability to coordinate the preparation of receiving and shipping records, invoices, cards, records
and other documents.
Ability to prepare correspondence as may be required.
Ability to coordinate the establishment and maintenance of essential records and files.
Ability to learn to utilize various types of electronic and/or manual recording and information
systems used by the agency, office or related units.
Ability to read, write, speak, understand, or communicate in English sufficiently to perform the
duties of this position. American Sign Language or Braille may also be considered as acceptable
forms of communication.
